This position manages the day-to-day accounting and financial processes for the organization, as well as our fiscally sponsored project, the Zero Waste Food Coalition. This work includes data maintenance in NetSuite, accounts payable and receivable, payroll, budgeting, contract management, and financial reporting to management, leadership, and the Board of Directors.\nWorking closely with the Director of Finance & Administration, the Finance Manager ensures accurate, timely, and compliant financial data and reporting. This person will also help strengthen internal systems and processes, enhance collaboration between departments, and support the organization’s commitment to transparency, accountability, and fiscal stewardship. This includes collaborating closely with the Development team to align financial records. \n\n\nKaty Hart is the hiring manager for this position. Applications must be received by January 2, 2026 to be fully considered.\n\n\n\nKey Responsibilities & Duties\n* Data Entry & Maintenance\n* Maintain accurate financial data and transaction records in NetSuite, ensuring proper coding, reconciliation, and documentation.\n* Coordinate with the Finance and Development teams to align financial data across systems (NetSuite, Expensify, Airtable, Salesforce).\n* Manage bookkeeping functions, including accounts payable, accounts receivable, and payroll.\n* Oversee the purchase order system, ensuring proper budget alignment and approvals.\n* Lead the review and reconciliation of all balance sheet accounts on a monthly basis.\n\n\n\n* Budget Support \n* Support the annual budgeting process, facilitating input from department leads and ensuring consistency in templates and assumptions.\n* Support the development of budget presentations to the Board of Directors and the Board Finance Committee. \n* Maintain ongoing budget-to-actuals tracking and flag significant variances for leadership review.\n* Assist in developing rolling forecasts and supporting financial analyses.\n* Continuously refine and document budget workflows and communication processes.\n\n\n\n* Contract Management\n* Manage all vendor contracts, including drafting, reviewing, and ensuring compliance with internal policies.\n* Serve as the point of contact for vendor relationships, addressing issues and ensuring service quality.\n* Track contract terms, deliverables, and renewal dates to ensure continuity and compliance.\n* Support procurement and vendor evaluation processes to ensure fiscal responsibility and equity.\n\n\n\n* Grant & Donor Reporting \n* Maintain financial tracking for grants and restricted funding, ensuring accurate allocations and reporting compliance.\n* Partner with the Development team to produce grant financial reports for funders.\n* Support proposal budgeting and financial planning for new grants.\n* Ensure grant-related financial records are organized, accurate, and audit-ready.\n\n\n\n* Financial Reporting\n* Produce monthly, annual, and ad-hoc financial statements and management reports for ReFED and any fiscally sponsored projects.\n* Collaborate with the Director of Finance & Administration and the organization’s CPA to complete month-end close activities, including reconciliations, journal entries, and supporting documentation.\n* Prepare specialized financial reporting for the Catalytic Grant Fund (CGF) and other projects funded through restricted revenue or grants.\n* Provide analytical insights and dashboards to leadership to inform decision-making.\n\n\n\n* Audit & Compliance Support\n* Assist the Director of Finance & Administration with annual audit preparation, including responding to auditor requests.\n* Maintain detailed and compliant financial records.\n* Help document and strengthen internal controls and financial processes.\n* Support compliance with GAAP/GAAS standards and nonprofit financial regulations.\n\n\n\nQualifications\n* Minimum of 2-4 years of progressive nonprofit finance experience, ideally in organizations with multiple funding streams, restricted grants, and annual audit requirements.\n* Strong working knowledge of NetSuite, Salesforce (or similar CRM system), and Excel required; experience with Expensify and Airtable a plus.\n* Proven experience managing multi-entity accounting and grant reporting preferred.\n* Experience supporting audits, financial reporting, and organizational budgeting processes.\n* Deep understanding of nonprofit accounting principles (GAAP/GAAS).\n* Ability to synthesize complex financial data into clear, actionable insights.\n* Excellent organizational skills with strong attention
