\nResponsibilities \n\n\nThis role will report to the Senior Executive Assistant receiving work assignments as needed. Over time this position will own aspects of the workload and may directly support one or more executives. Responsibilities may include: \n\n\n\n\n\nโโFull calendar management โfor Executives โincluding scheduling of all meetings, managing conflicts, โโand maintainโing balance between work and meeting blocks โโ \n\n\n\n\n\nโโโSupport of the Scientific Advisory Board (SAB) including scheduling all meetings with members, sending calendar invites and distributing pre read materials and minutesโโโโ \n\n\n\n\n\nCoordinate all information flows to ensure adequate prep time so that executives are always prepared, block prep time, send prep โmaterialsโ โand add reminders to calendar when appropriateโ \n\n\n\n\n\nFollow up with internal and external parties to ensure all action items are completedโ and communicate outcomes where neededโ \n\n\n\n\n\nConsolidatโeโ all requests for executives' time, agree on priorities with teammates and clearly communicateโโ expectations to team โ โ \n\n\n\n\n\nInitiate and continuously improve administrative procedures for Executive team in conjunction with Sr. EA \n\n\n\n\n\nProcess all expense reports and review and approve all expenses submitted by direct reports \n\n\n\n\n\nWork with Senior EA to coordinate multiple on-going conferences and off-site meetings/events and associated travel arrangements (including ad-hoc Board events, Senior Leadership Meetings, Executive Strategy Offsites, etc.) \n\n\n\n\n\nโโโโAdditional calendar management and meeting coordination, including team offsites, for other Executives and VP level colleaguesโโ as needed โโ \n\nโOther assignments as needed \n\n\n\n\nRequirements \n\n\nBachelorโs degree or equivalent experience required \n\n\n\n\n\nโโWorks well in vโirtual environment \n\n\n\n\n\nProactive self-starter who can solve any calendar challenge at a momentโs notice \n\n\n\n\n\n5+ years of experience in a business role \n\n\n\n\n\nExcellent presentation, spreadsheet, and document authorship skills \n\n\n\n\n\nExceptional time management skills and calendaring -- experience with scheduling internal and external meetings with C-level stakeholders, investors, and other busy senior people \n\n\n\n\n\nStrong written & verbal communication skills - able to deal with highly confidential and sensitive information and communicate effectively with Senior Executives and Influencers \n\n\n\n\n\nPositive attitude, appetite for development \n\n\n\n\n\nAbility to prioritize effectively in a fast-paced environment and adapt to last minute changes \n\n\n\n\n\nIncredible attention to detail and analytical skills \n\n\n\n\n\nAbility to pinpoint problems and find creative solutions proactively \n\n\n\n\n\nStrong business acumen and โjudgmentโโ; respect for confidentiality โ \n\n\n\n\n\nExperience with booking complex travel arrangements and adjusting them on short notice \n\n\n \n\n#Salary and compensation\n
