Remote Accounts Payable Manager

\nOverview\n\nWeโ€™re excited to be looking for an Accounts Payable Manager to join our team in Dumbo, Brooklyn. Reporting to our Controller, you will manage vendor spend across our key AP systems (Tipalti, AMEX, and Navan), establish process documentation, and implement controls to ensure best-in-class standards. Collaborating with our FP&A function and the broader business, you will be a key counterpart in assisting with monthly re-forecasting.\n\nThis role is perfect for you if you are highly entrepreneurial, thrive in a collaborative environment, and are passionate about improving processes and systems. If this sounds like you, weโ€™d love to hear from you!\n\nOur office is based in Brooklyn, NY, and we have a 2 days in/3 days remote schedule.\n\nWhat youโ€™ll do\n\n\n* Manage our current AP processing system, Tipalti, to ensure accurate/consistent data coding, timely reviews by departments, and quick response times to vendors\n\n* Refresh the business on the AP process and what is expected of the business-level review\n\n* Be a key business counterpart to our respective Brooklinen team members regarding onboarding vendors, payment follow-ups, and any other inquiries found in the team inbox\n\n* Centralize spend holistically under the AP function, including AMEX and Abacus processing\n\n* Take an active role in the ongoing Airbase implementation, to automate AMEX processing/recording\n\n* Manage our inventory and supplier payment process in NetSuite, by communicating with both internal/external contacts regarding status of weekly payments and collaborating with the broader business to forecast payments\n\n\n\n\nWe're looking for someone who brings\n\n\n* 5+ years of AP experience\n\n* Prior experience in accounting and/or the e-commerce/retail industry is a plus\n\n* High level of proficiency in Excel\n\n* Familiarity with systems including Tipalti, AMEX, Navan, and NetSuite is a plus\n\n* Proven track record of improving processes and systems and cross-functional collaboration\n\n* Strong attention to detail and excellent time management skills\n\n* Strong verbal and written communication skills โ€“ email etiquette and professionalism are essential\n\n* An entrepreneurial spirit, curious mindset, and eagerness to roll up your sleeves\n\n\n\n\nCompensation & Benefits\n\nAt Brooklinen, our goal is to offer a competitive total compensation package which we determine based on specific market data taking into account our company size, stage, industry, and location. Ensure contractor compliance with legal requirements, owner specifications, and government regulations.\n\n* Work closely with the facilities and construction project management team and other functional groups to ensure all facility requirements are met.\n\n* Verify and ensure contractors have adequate insurance and work with risk management to acquire builderโ€™s all-risk insurance policies.\n\n* Review/audit progress payments to ensure compliance with contract terms and conditions.\n\n* Develop contracts using pre-approved agreement templates.\n\n* Work closely with legal to resolve non-commercial terms and conditions.\n\n* Conduct contract compliance reviews and engage in project risk assessment.\n\n* Review progress payments to ensure compliance with contract terms and conditions and to identify unallowable costs.\n\n* Review architectural and engineering service providers and construction contractor's monthly invoices to insure they are accurate, timely, complete, and in compliance with contract terms.  This work may include the examination of specific contract requirements, payroll records, rates for overhead & profit, and receipts for direct cost.\n\n* Support procurement team from contract inception to project final closeout.\n\n\n\n\n \n\nQualifications:\n\n\n* Bachelorโ€™s degree in business administration, construction management, procurement, a technical subject area, or similar.\n\n* 15+ yearsโ€™ experience combined in purchasing and/or contracts/subcontracts, 5 years working with construction contracts.\n\n* Must be able to travel occasionally to remote sites.\n\n* Strong communication skills and ability to manage multiple tasks and projects.
