Qatar Airways is one of the leading luxury airlines in the region, it has embarked on a landmark office building in Muscat to serve their growing needs in the region. The building consists of 3 basement levels + Ground + 8 Floors, and features a modern facade with pigmented precast panels, stone cladding and large aluminium screens. The Qatar Airways office building is situated in Ghala Heights on 17,000 square meter area to solidify the presence of Qatar Airways in Oman.
OVERALL JOB RESPONSIBILITIES
โข Manage and maintain site document control routine activities, provide documentation management support to the technical teams, including filing, archiving, managing databases and retrieval, using electronic document management system.
โข Preparing weekly and monthly progress review documents report in coordination with planning team, receiving and distribution of incoming documents/drawings through EDMS, update and recordkeeping of all project related documentations and drawings etc.
โข Uploading and timely submission of all project documents via EDMS to the consultant and client, copy, scan and store documents, manage smooth flow of incoming & outgoing documents using EDMS and circulate commented copies through emails among the project team and organization as per matrix and physical filing of hard copies.
โข Day to day liaison with construction team to ensure efficient and effective control of all project documentation and facilitate timely provision of requested documentation, develop and implement a set of key procedures according to document control procedure, document numbering, archiving, and other documentation norms and defining the framework.
โข Prepare, maintain & update discipline wise incoming/outgoing master document correspondences e-registers/e-logs and maintain document processing & document retention systems of the project, ensure all files are correctly accountable, controlling and managing all projects documents.
โข Follow standard office and projects Document Control procedure, collects, reviews, and distributes incoming hard copies and e-mails, preparation and compilation of final handover of documents and Project Document Dossier to the client.
โข Retain and be able to retrieve all correspondences, reports, drawings, sketches, engineering instructions, MoM, submittals, RFIs, RFIAs, variations, IPAs and other project documents.
โข Ensure proper file codes and labels are indicated on each document and proper redundant or subject files are maintained, ensure all sequential documents are accounted for, and all original hard copies of documents are retained for easy access.
โข Managing the provision of document control services on various projects in accordance with document management systems, controls, processes, and procedures and any specific project or other regulatory requirements.
โข Prepare document templates of RFIs, MAS, Method Statements, Inspection Requests (RFIAs), CVIs, PRQs, and other technical submittals, prepare progress reports using excel and other software tools, providing accurate and timely updates to project teams & managers.
โข Maintain and prepare IPA, Variations logs and Master Document Register (MDR), provide timely input to project team and maintain internal and external correspondences and emails records, to ensure timely and effective documentation control in compliance with defined policies and procedures.
โข Maintaining electronic folders and directories, archiving files, tracking and retrieval of documents, drawings, contracts & specifications to ensuring accuracy, proper storage and backup.

(i) Asab Full Field Development (Asab, Abudhabi)

The project was a mega scale development and involves large construction quantities spread over a geographical area of 40 x 20km. The central degassing station facility alone covers an area of 2.5km. The project was located in the western region of Abu Dhabi, and is part of the Oil & Gas field of ASAB. Given the location of the project, in the middle of the desert, and taking into account the requirements and constraints related to working with the Oil & Gas industry, with strict implementation of all safety, quality and environmental procedures.
(ii) Al Mamoura School (Abu Dhabi, UAE)
(Client โ ALDAR, Consultant โ CGCH), Software Used: Aconex
The project's scope of work consists of a mixed primary and girls secondary school located at Abu Dhabi. The project includes an 850-seat auditorium, extensive music, drama and art facilities, research laboratory, graphic design area, music recording studio and recital hall. Sports facilities include a multi- purpose sports hall, dance studio, 25-meter swimming pool, basketball and netball courts, playing fields and soft playing areas with separate and secure covered play areas
OVERALL RESPONSIBILITIES
โข Prepare and generate reports for progress meetings, providing administrative support as required. Address and clarify document control queries from Project Management Consultants, project team members, and contractors in a timely and effective manner.
โข Manage and maintain site document control routine activities, provide documentation management support to the technical teams, including filing, archiving, managing databases and retrieval, using electronic document management system.

โข Demonstrate strong understanding and proficiency in utilizing the Oracle Aconex document management system, with an additional working knowledge in Oracle Suite. Configure and maintain Aconex modules and workflows to optimize document control process.
